What a proforma invoice is
A proforma invoice is a quote dressed as an invoice. It tells the buyer what they will be billed if they go ahead.
It lists the same things a final invoice does: seller, buyer, goods or services, quantities, prices, taxes and the total. The difference is its status. It does not record a completed sale, so it is not a tax invoice and is not entered in the books as revenue.
Buyers ask for one to approve a purchase internally, to pay an advance, to apply for an import licence, or to open a letter of credit with their bank.
Proforma invoice format
A proforma invoice usually carries:
- The words Proforma Invoice, clearly at the top
- A proforma number and the date of issue
- Seller and buyer names, addresses and tax numbers
- A description of each item, with quantity and unit price
- Taxes, any shipping or other charges, and the total
- Payment terms and how long the quote stays valid

Making it say Proforma
The generator does not have a separate proforma mode. Two fields do the job.
On the Stripe-style template, the invoice number label is the large title at the top of the page. Change it from Invoice to Proforma Invoice. On the default template, the same label sits beside the number, so Proforma Invoice No. reads naturally.
Use the header notes field for a line such as Valid for 30 days or Not a tax invoice. It prints under the title on both templates.
From proforma to final invoice
Once the buyer confirms, the numbers are already filled in.
Change the label back to Invoice, give it a number from your regular invoice series, update the dates, and download again. The proforma PDF you sent earlier stays as it was.

FAQ
Is a proforma invoice a legal invoice?
No. It is a preliminary document. It does not record a completed sale, and in most countries, India included, the buyer cannot claim input tax on it.
Should a proforma invoice include tax?
Usually yes, so the buyer sees the full expected cost. Rename the tax label to match your tax, such as GST, VAT or Sales Tax, and set the rate.
Does a proforma invoice need its own number?
It is good practice. Many businesses use a separate series, such as PI-2026-001, so proformas never take a number from the tax invoice sequence.
Can I write the proforma in another language?
Yes. The PDF can be printed in 13 languages, and the label you type replaces the default title in any of them.
Do I need an account?
No. There is no signup and no email step. The PDF is built in your browser, so the quote never reaches a server.
